With a KnowledgeIQ Knowledge Management System (KMS), managing content is both simple and effective. In this series of articles, we have already discussed the value of automated version control and document templates. In the final article of this series, we discover shared paragraphs - a powerful tool for creating reusable, standardised content.
Shared paragraphs provide content authors with the ability to create a piece of content once and reuse when necessary. These content modules are stored centrally in the KMS and called upon when needed. When the original module is updated, the changes are automatically reflected in all the places where it's used. Examples of share paragraphs include:
As an example, - the process for claiming an expense needs to be included within many different documents. Rather than writing the same process multiple times, in KnowledgeIQ they are written once and stored. Then, as required, inserted into however many different documents as necessary.
If the expense claim process requires a change, the content writer will edit it once in the primary document and the change would apply to everywhere the information is located. This will not only save content writers time but also supports quality control for your organisation.
The image below is a shared paragraph relating to the above example.

In short, shared paragraphs save time and ensure consistency. By storing and updating content in one place, authors avoid repeating work, and readers always get the latest information. This makes content creation faster and more reliable.
